Operations Assistant

Job Summary

The Operations Assistant role is instrumental in ensuring our organization runs smoothly, has a positive company culture and efficient operations.  To achieve these objectives, the assistant is a self-starter, organized, proactive and has a role to play in several key areas of the agency providing crucial support to the executive leadership team by supporting a variety of operations and administrative tasks.    This position is a 100% in-office role and not a hybrid position.

 

Responsibilities

Reports to HR & Operations Administrator and is responsible for the following tasks:

Human Resources

  • Maintain employment files, including Curley College trackers
  • Assist with management of HR operations including scheduling and support to the HR& Operations Administrator and VP Finance & Accounting in administering benefits, onboarding, annual review process, legal employment documents and employee files
  • Supporting HR& Operations Administrator and SVP, Director of Client Service in hiring and retention priorities including scheduling and organizing as needed.

Technology

  • Support on technology matters such as equipment and services
  • Support HR & Operations Administrator managing the agency’s technology inventory
  • Assist with the management of Dropbox

Facilities & Operations

  • Oversee day-to-day functions of the office including reception, mail, supplies, meetings and building maintenance
  • Provide support on operations and facilities matters
  • Provide support to the agency’s facilities management to ensure a safe, economical and productive workplace
  • Provide support to HR & Operations Administrator and VP Finance & Accounting in managing relationships with partners and vendors
  • Provide support to HR & Operations Administrator in managing the office infrastructure, including equipment, supplies, vendors, workspace
  • Liaise with the building management on rules and regulations including safety of employees

Executive Leadership Support

  • Schedule meetings, make travel arrangements or handle logistics for Curley executive meetings and events, including partnering with President and CEO on meeting logistics and agenda
  • Manage preparations for both internal and external meetings and ensuring office kept neat and tidy
  • Special projects and other responsibilities as assigned

Marketing & New Business Support

  • Provide event and marketing support for both internal and external events (staff retreat, happy hours, holiday functions)
  • Act as Curley “on-site” staff for events in the Curley space

 

Qualifications:

  • Experience in HR & operations for a small to medium-sized company
  • Ability to work in a fast-paced, rapidly changing, entrepreneurial environment
  • Excellent written, verbal, and interpersonal communication skills; strong presentation and public-speaking skills
  • Proficiency with Microsoft Office, including Word, Outlook, PowerPoint and Excel
  • Proficiency in use of cloud-based office management software
